About WIFT

Built by planners
who got tired of being misled.

WIFT exists because the event industry has tolerated a broken standard for too long. Venues quote one number. Reality delivers another. We built the tool that closes that gap — before the contract is signed.

The problem wasn't
a surprise. It was standard.

After two decades running complex, high-stakes meetings for pharma and med tech clients, WIFT co-founder J.R. Spiess had seen the same problem hundreds of times. A venue quotes a room capacity. The planner books it. The production team arrives on-site to find the room is fundamentally incompatible with the event's actual needs.

The screen eats 3 rows. The audio FOH position swallows 12 seats. The stage — which nobody factored in — removes another 25. The "130-person room" fits 74 people in production-ready conditions. But the contract is already signed.

What follows is a cascade. AV redesigns. New diagram layouts. Repriced registrations. Reshuffled speakers. Marketing materials updated. On-site overtime. The planner absorbs the heat. The client feels misled. And none of it was necessary.

WIFT was built to end that cascade — starting at the beginning of the event lifecycle, not the end.

"The hotel usually knows what the meeting actually needs. But 'capacity' gets used to close the deal. Then the on-site team gets handed an impossible room."
— J.R. Spiess, CEO & Co-Founder, WIFT

What we're actually building.

🎯
Truth Before Contract

The production-ready capacity number has to exist before anyone signs. WIFT gives planners that number in seconds, not after weeks of site visits and change orders.

Speed is a Service

Event sourcing moves fast. Planners don't have time for 5-day RFP cycles to confirm a room fits. WIFT runs the calculation in under 30 seconds so sourcing can keep pace with business.

🔗
One Source of Truth

Every stakeholder — planner, venue, AV team, CSM — should be working from the same reality. WIFT's shareable fit checks create a common language across the entire event team.

💰
Protect the Budget

A mis-sourced room doesn't just waste time. It creates hard costs: AV changes, overtime labor, equipment swaps, re-rigging. WIFT is financial protection as much as it is a planning tool.

🏗️
Production-First Thinking

We don't measure rooms the way hotel sales does. We measure them the way a production team does — accounting for every element that actually needs to fit before you can run a meeting.

🤝
Better Relationships

Hotels that sell the truth win long term. WIFT helps venues and planners build trust on shared, accurate data — not inflated numbers designed to close a deal that creates problems later.
